Account states and read-only mode

Most of the time your organization is healthy and everyone works normally. When a trial ends, a payment fails, checkout isn’t finished, or an administrator steps in, the organization can become read-only or suspended. This page explains each state, how to recognize it and how to get back to full access.

The states

State Access How to get back to full access
Active Full. Nothing to do.
Trialing Full until the trial ends, then read-only. Choose a plan.
Cancels at period end Full until the end date, then read-only. Click Resume subscription before the date.
Past due Full for a grace period after a failed payment (seven days by default), then read-only. Update your payment method so the payment succeeds.
Awaiting payment Read-only from the start. Finish checkout with Complete payment.
Expired (trial ended) Read-only. Choose a plan.
Canceled Read-only. Choose a plan to subscribe again.
Comped Full. A complimentary plan managed by Macula Systems. Nothing to do.
Read-only, set by an administrator Read-only. Members can still get in. A Kenseme administrator lifts it.
Suspended Read-only. Only the organization’s admins can get in. A Kenseme administrator re-enables it.

Organizations created before plans existed have no plan. They have full access and none of these states apply, except the two administrator actions.

Read-only, suspended and the Read Only role

These are three different things:

  • Read-only (organization). The whole organization can be read but not changed, usually for a billing reason. Everyone can still sign in and look at everything.
  • Suspended. A Kenseme administrator has turned the organization off. It’s read-only for its admins, and every other member is locked out: they can’t open it or switch into it, and sign-in doesn’t land them in it.
  • The Read Only role. Limits one person in a healthy organization. See Roles in Kenseme.

When more than one applies, the strongest wins: suspended, then read-only set by an administrator, then read-only for billing.

Note: Paying doesn’t lift a suspension or an administrator’s read-only setting. Only a Kenseme administrator can lift those. Billing & Plan says so: “An administrator has suspended this organization: \. Paying does not lift a suspension — contact support.”

How you’ll know

  • A badge beside the organization name in the header: Read-only in amber, or Suspended in red.
  • A banner across the top of every page that stays until the state is resolved:
    • Read-only or suspended: “The site is in read-only mode. Contact an administrator for more information.” If an administrator gave a reason, it appears underneath. Organization admins see an Update your plan button.
    • Awaiting payment: “Your subscription isn’t active yet. Complete payment to unlock your workspace.” Organization admins see Complete payment.
    • Cancelled but not yet ended: “Your subscription will end in N days (on \). You keep full access until then.” Organization admins see Resume subscription.
  • An alert on Billing & Plan that names the cause, such as “Your trial ended on \. Choose a plan to restore full access.” or “Your last payment failed. Update your payment method to keep access.”
  • Disabled buttons. Anything that would change something is greyed out. Hover over one for the read-only message.

What read-only allows

Everything you could read, you still can. Open schemas, browse ontologies and diagrams, view Pipelines, read glossaries and look at Home and the Activity page.

Anything that changes, generates, downloads or exports is blocked. That includes saving edits, creating things, generating SQL or notebooks, running AI generation, starting new Data Agent questions, and downloading files. If an action gets through, it’s refused with a message such as “This organization is read-only because its subscription is inactive. Open Billing & Plan to reactivate your plan and make changes again.” For a suspended organization the message is “This organization has been suspended by an administrator. Changes are disabled. Contact support if you believe this is an error.”

A few actions stay available because they don’t change your content:

  • Testing a database connection.
  • AI searches that save nothing. Their Apply buttons are disabled.
  • Deleting an uploaded process document. Removing data is allowed, even though downloading the document isn’t.
  • Everything on Billing & Plan, so an admin can pay and restore access.

Recurring background work that would change content is paused for read-only organizations.

Getting back to full access

  • Billing causes (trial ended, payment failed, awaiting payment, canceled): an organization admin fixes it on Billing & Plan. Choose a plan, finish checkout or update the card. As soon as the payment is confirmed, the restriction lifts.
  • Administrator causes (read-only or suspended): contact the Kenseme team. See System administration.

Tip: If the banner is still there a minute after you’ve paid, reload the page or switch organizations and back.
