Process documents overview

Much of what your business knows is written down in documents: operating procedures, policies, onboarding guides, spreadsheets of definitions, exported emails. Processes is where you keep them in Kenseme. Each document you upload is converted to readable text, split into sections, and indexed so you can search it by meaning rather than exact wording.

Why it matters

  • Find answers fast. Ask “how do we handle refunds?” and get the matching passage, even if the document says “returns and reimbursements”.
  • Ground the AI in how you actually work. The ontology generator and the Glossary Extractor can read your process documents, so what they draft reflects your own procedures instead of generic assumptions.
  • Keep guidance next to the source. Each document can carry your own guidelines, which travel with it whenever the AI uses it.

What happens when you upload

Uploading returns you to work straight away. Processing runs in the background, and the document’s status moves through these steps:

Status What’s happening
Uploaded The file is stored and waiting its turn.
Converting Kenseme is turning the file into readable text.
Indexing The text is split into sections and prepared for search. Kenseme also writes a short summary and a list of the document’s topics for the AI features.
Ready The document is searchable and available to the AI features.
Failed Something went wrong. The document’s Info tab explains what, and you can re-process it.

While a document is Converting or Indexing, a spinner sits beside the status and the page refreshes on its own. Only Ready documents turn up in search and in the AI source pickers.

What you can do

Things to know

  • Documents belong to one organization. Search only covers your organization’s documents, and no other organization can see them. If you work in several organizations, switch to the right one first.
  • Processes needs setting up. It depends on cloud storage and search services that must be configured for your Kenseme environment. If they aren’t, the page shows “Processes is not configured for this environment” and Upload Document stays disabled. Ask your administrator.
  • Read-only mode limits changes. When your organization is read-only, you can still browse, search, and preview documents, and you can still delete one. Uploading, replacing, re-processing, editing, and downloading are disabled. See Account states and read-only mode.
  • Processing uses AI. The summary and topic list written during indexing use your organization’s AI allowance. See AI token allowance and usage.
