Work with a process document

Every uploaded document has its own page. It’s where you describe the document, tell the AI how to use it, check what Kenseme extracted from the file, and manage the file itself.

In the app: Business Context › Processes › your document

Before you start

  • Upload the document first. See Upload and search documents.
  • Editing, downloading, replacing, and re-processing need your organization to be out of read-only mode. Deleting is always available.

The page at a glance

The header shows the document’s name, its status badge, and three buttons: Re-process, Replace, and Delete. Below are four tabs.

Tab What it’s for
Info The description, the original file, and processing details.
Guidelines Your own notes on how to read and use the document.
Preview The readable text Kenseme converted the file into.
Attributes Values for your organization’s custom attribute groups.

Info tab

  • Description. Shows the description, or “No description yet.” Click Edit description to change the Name and Description, then click Save Changes.
  • File. Shows the original file name, size, and type. Click Download to get the original file back.
  • Details. Chunks (how many sections it was split into), Uploaded, Indexed, Uploaded by, and the file’s Content type.

If processing failed, a Processing failed banner at the top of the tab gives the reason and a Re-process button.

Guidelines tab

Guidelines are your notes about the document, written in Markdown. Use them to tell the AI what matters: which sections are authoritative, which terms are outdated, what the document doesn’t cover.

  1. Open the Guidelines tab and click Edit.
  2. Write in the editor. It has a formatting toolbar and a preview.
  3. Click Save Changes.

When you select this document as a source in the ontology generator, its guidelines are always included alongside it.

Preview tab

Preview shows the converted text, formatted with its headings, tables, and lists, plus a table of contents. Use it to check that the conversion kept what matters. A scanned PDF or a complex spreadsheet may convert imperfectly, and this is where you’ll see it.

If the document is still processing, the tab says the text isn’t available yet.

Attributes tab

Fill in values for the attribute groups your organization has assigned to Processes, then click Save. See Apply attribute values on process documents.

Manage the file

Button What it does
Re-process Converts, splits, and indexes the same file again, in the background. Use it after a failure.
Replace Opens Replace Process Document. Choose a new file and click Replace. The old file and its search data are replaced, and the new file is processed. The name, description, guidelines, and attribute values stay.
Delete Permanently removes the document and its search data after you confirm. This can’t be undone.

All three are unavailable while the document is Converting or Indexing.
