Manage users in your organization

The Users tab lists everyone in your organization with their role, when they last signed in, and whether they’re active. From here you change roles, deactivate people who no longer need access, and bring them back later. To add someone new, you send an invitation; see Invite people to your organization.

Before you start

  • You need the Admin role in the organization.
  • If the organization is read-only, the grid is visible but role changes, deactivation, and invitations are disabled until it’s writable again. See Account states and read-only mode.

What the Users tab shows

Column What it tells you
Email The member’s sign-in address.
Last Login How long ago they last signed in, or Never.
Role Their role in this organization, as an editable drop-down.
Status Active or Deactivated.
Actions Deactivate or reactivate the member.

You don’t appear in your own list, so you can’t change your own role or deactivate yourself by accident.

Use Search users... above the grid to filter by email or role.

Add people and handle pending invitations

To add someone, click Add User and send them an invitation. After you send it, a dialog shows the Invitation link with a copy button, so you can share the link yourself if the email doesn’t arrive.

Invitations that haven’t been accepted yet are listed under Pending Invitations (N) below the grid, with the role, who invited them, and when the link expires. On each row you can:

  • Resend (the envelope icon). This sends a new email with a new link and a fresh expiry date; the old link stops working.
  • Revoke (the X icon). The link stops working and the seat is freed.

If every seat is taken, the invitation is refused with “Seat limit reached (X of Y). Upgrade your plan or add seats.” Pending invitations count toward seats.

Change a member’s role

  1. Find the member in the grid.
  2. Open the drop-down in the Role column.
  3. Choose None, Read Only, Read/Write, or Admin.

The change saves as soon as you pick it, and Kenseme confirms with “Role updated to …”. The member’s permissions update right away. See Roles in Kenseme for what each role allows.

Note: You can’t change the role of a deactivated member. Reactivate them first.

Deactivate a member

Deactivating removes someone’s access to this organization without deleting them. Their name stays on the objects they created, and you can reactivate them later.

  1. Click the deactivate icon (a person with a line through it) in the member’s Actions cell.
  2. Confirm in the Deactivate User dialog.

The member’s status changes to Deactivated, and they can no longer open the organization. Their Kenseme account is unaffected, so they keep access to any other organizations they belong to.

A deactivated member doesn’t use a seat.

Reactivate a member

  1. Find the member (their status reads Deactivated).
  2. Click the reactivate icon (a circular arrow) in the Actions cell.

Reactivation takes a seat. If every seat is in use, Kenseme stops with “Seat limit reached (X of Y). Upgrade your plan or add seats.” Free a seat or add seats from Billing & Plan, then try again.

How seats are counted

Your plan sets how many seats the organization has. A seat is used by every active member and every pending invitation. Deactivated members and revoked or expired invitations don’t count. If your organization has no seat limit, none of this applies.
