Upload and search documents

This page walks through adding a document on the Processes page and searching what you’ve uploaded. For what Processes is for, see Process documents overview.

In the app: Business Context › Processes

Before you start

  • Processes must be configured for your environment. If the page says “Processes is not configured for this environment”, ask your administrator.
  • Your organization must not be in read-only mode to upload.

Upload a document

  1. Go to Business Context › Processes and click Upload Document.
  2. Click the drop area and choose a file. Kenseme fills in Name from the file name if you haven’t typed one.
  3. Edit the Name if you like. It’s required, up to 250 characters.
  4. Optionally add a Description (optional).
  5. Click Upload.

The dialog lists the supported file types and the maximum size. By default these are Word (.docx), PowerPoint (.pptx), PDF (.pdf), Markdown (.md), plain text (.txt), HTML (.html), rich text (.rtf), OpenDocument text (.odt), Excel (.xlsx), and email (.eml, .msg), up to 50 MB. Your administrator can change both, so trust what the dialog shows.

Follow the processing

After you click Upload, a message confirms that conversion and indexing have started, and the document appears in the grid with the status Uploaded. It then moves through Converting and Indexing to Ready. A spinner shows while work is in progress, and the page updates on its own.

You don’t have to wait on the page. Come back later and the row shows where the document ended up. If the status is Failed, hover over the badge to see the reason, or open the document to read it and re-process.

Read the document grid

Column What it shows
Name Click to open the document’s page.
File The original file name and a file-type badge.
Size The file size.
Status Where the document is in processing.
Chunks How many sections the document was split into for search.
Uploaded How long ago it was uploaded. Newest first by default.
Actions Re-process, replace, and delete.

The grid supports sorting and filtering on each column and shows ten documents per page.

Re-process, replace, or delete from the grid

Icon What it does
Re-process Converts, splits, and indexes the same file again. Use it after a Failed status.
Replace Uploads a new file into the same document entry, replacing the old file and its search data, then processes it.
Delete Permanently removes the document and its search data after you confirm. This can’t be undone.

Re-process and replace are unavailable while a document is still processing. You can do the same things from the document’s own page. See Work with a process document.

Search your documents

The Semantic Search panel searches by meaning, not exact keywords. Ask about “refund handling” and a passage about “returns and reimbursements” can still match.

  1. Type a question or phrase in Search process documents….
  2. Click Search.

Each result shows:

  • The document name, linked to its page, and a relevance score.
  • A trail with the file name and the headings the passage sits under.
  • A badge such as Section 4 of 12 that says where the passage is in the document.
  • The matching passage, with matching words highlighted.

Click Show context on a result to expand the sections around the match. The matching section is marked (matched). Neighbouring sections overlap slightly, so you may see a few repeated lines at the edges. Click Hide context to collapse it.

If nothing matches, you see No matches. Click Clear to reset the search.

Note: Search covers only your organization’s documents, and only those with the status Ready.
